Overview
Assigning GL (General Ledger) codes to invoice line items is an important but often repetitive task. That’s why we’ve improved the auto-mapping process with GL suggestions powered by Ottimate AI to make it smarter and faster—without taking control away from you. AI reduces manual effort by recommending the most likely GL code for unmapped items based on your past activity.
How It Works
Ottimate will suggest a GL account if it cannot auto-map a line item using your existing rules.
You can accept ✅ or reject ❌ the suggestion directly in the line item.
If you accept, Ottimate will remember your choice to improve future suggestions.
You can manually select the GL code if no suggestion appears.
Example: Ottimate suggests the GL account “Purchases” for the line item “Trueclear Water - V3.” This suggestion can be accepted or rejected on the line item. The item “Pad Lgl Rl Perf Ltr We” has no rule or AI match and needs to be coded manually.
Availability
This feature is currently in beta and has been enabled for a limited set of accounts. If you’d like to try it out or learn more about when it will be available for your account, please reach out to your Customer Success Manager or Support team.
FAQs
Q: How does AI work alongside my existing GL rules?
A: Ottimate always checks your existing rules first. If a rule exists for a line item, it’s applied automatically. AI only steps in to suggest a GL code when no rule is found and even then, you’re always in control to accept or reject the suggestion.
Q: What happens when I accept an AI suggestion?
A. Ottimate learns from your decision and can create a rule so future line items like this are mapped automatically.
Q: Can I turn off AI suggestions?
A. Yes. Reach out to your Ottimate Account Manager or Support to opt out.
Q: What if the AI suggestion is wrong?
A. You can reject it and select the correct GL. Ottimate will not create a rule based on rejections.
