Overview
The Vendor History provides a complete history of changes made to vendor details, ensuring transparency, compliance, and easier troubleshooting. This feature allows users to track modifications to key vendor attributes, including vendor ID, remittance address, payment terms, and vendor merges.
How It Works
1. Accessing the Vendor History
Log in to your Ottimate account.
Go to the Vendors tab.
Select a vendor whose history you want to review.
Click on the History tab (next to Notes).
View all logged changes in chronological order (Newest first).
2. What Information Is Logged?
The following changes are tracked in the History tab:
Initial Vendor Setup - Displays who set up the vendor (User or Ottimate) and the timestamp.
Field Changes - Modifications to vendor details, including:
Vendor ID updates
Remittance address changes
Payment term updates
Vendor merges etc.
Timestamps & User Details - Each entry records:
Local Date and Time (hh:mm, DD/MM/YYYY)
User who made the change (or Ottimate if system-initiated)
Previous Value and New Value (e.g. Check Delivery Preference: None to priority)
Note: If you are syncing vendor data from an ERP, those changes will not be tracked in the Vendors History tab. Only modifications made directly by users within the Vendor tab will be recorded in the history.

Q1: How would the logs be displayed?
Currently, logs are displayed in Newest first order.
Q2: What happens if multiple fields are updated at once?
Each change is logged as a separate entry to maintain clarity.
Q3: Can I track vendor merges?
Yes! The History tab records when a vendor is merged, along with details of the parent-child relationship.
Q4: Will historical data be available before this feature was introduced?
No, history tracking starts from the feature activation date. A message in the history tab will indicate when tracking began.
