06.10.26 Releases

Copilot 

The new Claude & Ottimate MCP integration acts like a "USB port for AI," allowing tools like Claude to securely connect directly to live accounts payable data without compromising strict security permissions. Instead of hunting through rigid dashboards or exporting manual reports, users can now bridge the gap between financial records and everyday business analysis tools by simply asking natural-language questions to analyze spend, track approvals, and spot price variances. 


Item Validation 

Item Pre-Mapping feature shifts the invoice workflow from reactive to proactive by allowing data entry teams to map vendor items before the first invoice even arrives. This ensures line items are instantly recognized and accurately coded the moment an invoice is uploaded, helping users eliminate processing bottlenecks and achieve seamless accuracy on high-volume scanning from day one. 


Variance Manager (v2): Auto-Generate Draft upon Invoice Export transforms variance tracking from a reactive, manual chore into an automated system by generating a draft the moment an invoice is exported. This ensures users automatically catch price hikes, overcharges, or missing credits in real time, maintaining tight financial controls and stopping vendor overpayments without slowing down the normal processing cycle.


Payment 

Invite Vendor to Electronic Payments automates vendor onboarding by making virtual cards the primary, default option during the invitation process to proactively guide vendors toward faster, more secure electronic payments. This eliminates manual outreach and administrative follow-ups, helping users accelerate onboarding speed and maximize digital transactions effortlessly.  


PO Matching 

Line level Price Variances moves variance tracking from the total bill down to every individual row on an invoice, comparing unit prices against the original PO or the last price paid to catch hidden price hikes that header-level totals miss. This granular tracking allows users to immediately spot budget "micro-leaks" and protect profit margins before subtle cost increases add up. 


Unmatched Invoices in Needs Attention functionality routes all unmatched invoices directly into the "Needs Attention" queue while instantly auto-approving perfect matches straight to the ERP without requiring a human click. By shifting to this "exception-first" workflow, the platform eliminates redundant manual reviews and dramatically speeds up the payment cycle for users. 


Configurable Option to Auto Approve Matched Invoices introduces a simple configuration toggle that allows fully matched invoices to be approved instantly without complex PO bot policies. This streamlined update eliminates unnecessary manual steps and keeps workflows moving seamlessly, ensuring new implementations are simplified while existing workflows remain entirely uninterrupted for users. 


Bulk Actions to Resolve Variances allows AP processors to accept or reject multiple price and quantity discrepancies simultaneously on the Resolve Variances screen. By grouping and resolving these specific variances at scale instead of processing repetitive lines one by one, users can significantly cut down on manual effort and accelerate the resolution workflow for high-volume invoices. 


Spend Management

Repayment eliminates the administrative nightmare of manually chasing employees for non-compliant or failed expense payouts by turning the reimbursement engine into a two-way street. The platform can now automatically initiate a reverse ACH transfer to pull the exact amount back from an employee's linked personal bank account, ensuring corporate funds are returned seamlessly to the treasury so users can maintain tight compliance and a clean balance sheet. 


Spend Policy Revamp introduces a centralized, transparent dashboard that gives administrators real-time visibility into active rule criteria and approval workflows. By eliminating rigid controls and operational guesswork, this streamlined oversight removes friction for high-volume accounts and allows users to manage internal spend with total confidence.

Turn high-volume reconciliation into an instantaneous action by using Bulk Actions in Item Validation to manage entire invoices with a single click. This update allows you to accept, reject, or remove multiple catalog mappings at once, removing the inefficiency of manual, one-by-one processing.

Experience true bidirectional syncing with our enhanced Flat File Exports: Variance Manager & Receiver Invoice functionality. These updates standardize how cost and invoice data are pushed to external inventory systems like RDS, ensuring your downstream partners stay perfectly in sync with your AP data.

Purchase Order (PO) Match

Achieve touchless invoice processing for services with Sage Intacct Amount-Based PO Matching, which extends automation to price-based purchase orders. By automatically matching invoice totals against remaining PO balances, Ottimate ensures your service procurement scales without requiring manual intervention.

Gain total transparency into your data with PO & Receipt Change History Visibility, featuring a field-level audit trail of every sync from your ERP. You can now instantly view "before and after" values for line quantities and prices, making it faster than ever to verify data shifts and resolve matching discrepancies.

02.10.26 Releases

Core

We’ve added Granular Vendor Permissions so finance teams can stay productive without compromising security. Users can now give users permission to edit basic vendor details while keeping critical payment and financial fields strictly 'view-only'.

Integrations

Better tracking has been enabled for Freight & Miscellaneous costs for Sage Intacct users. Users can now break out non-merchandise charges directly on the invoice, ensuring your Intacct reporting stays organized and accurate.

Support for Freight & Miscellaneous costs has been enabled for Netsuite users. Users can now accurately track shipping and extra fees as specific line items, providing more precise data and automated exports to NetSuite.

Item Validation

Introducing our new powerful Item Validation: 3-way Vendor Pre-Mapping Tool. We’ve streamlined our onboarding process to support 3-way matching between different vendor sources. Now, users can link all vendor data to a single profile for faster, more accurate validation and reporting.

Introducing the new Catalog Manager! Now available for users on Lite/Starter plans, this tool lets users manage items and mappings in bulk. Easily fix errors faster, stay organized, and eliminate manual entry across your entire invoice history.  Note: This is only enabled for Lite/Starter plans. 

We’ve added a new UPC column to help users identify items faster and with more precision.  It’s the same workflow users love currently, now with better data visibility.

Onboarding & Partner Experience (PEX)

With our new Production API (v1.0.0), financial teams can securely connect Ottimate to other business systems. This allows for automatic syncing of vendors and the seamless transfer of invoices, eliminating manual data entry and ensuring information is consistent across all your platforms.

Payments

Users can now automate recurring vendor bills with Card-on-File. Users are now able to lodge a secure card with specific vendors for automatic 'pull' payments. Ottimate handles the heavy lifting by instantly matching charges to approved invoices, giving users a perfect audit trail with zero extra effort meaning no manual reconciliation required.

End users can now use Ottimate as a standalone payment engine with Decoupled Payments. Upload your Excel or CSV payment files, and our background processor will validate the data and prep your payments automatically. Decoupled Payments is the fastest way to turn your spreadsheets into secure vendor payments.

Purchase Order (PO) Match

We’ve added more ways to match your invoices to your Purchase Orders. Users can now choose to match based on the total quantity of items received at the header level, rather than just the dollar amount. This ensures that as long as the right amount of product arrives, your invoice moves forward automatically.


Simplify your procurement workflow with the new PO Accrual Report. Designed specifically for teams using iBuy or Birchstreet, this report highlights any outstanding orders that are still waiting for an invoice. Now, users can easily identify pending expenses and maintain a clean audit trail between your procurement system and your books ensuring financial statements are accurate at the end of every month.

Take full control over order tracking with PO Close Report. For iBuy or Birchstreet users, you can now manually close Purchase Orders directly in Ottimate once they are finished. This removes completed orders from your pending lists, giving you a crystal-clear view of your outstanding liabilities without any old data getting in the way.

Spend Management

Our new SmartReceipt Parsing uses artificial intelligence to read your receipts for users. It automatically fills in the merchant, date, and amount, while even spotting 'hidden' items like alcohol that might be against company policy. It’s like having a personal auditor that handles your data entry and keeps your team in compliance.
