User Changes To Invoice Report

This report provides a detailed audit trail of every user-made change to an invoice in your organization, including who edited the invoice, when the edit was made, which field was changed, and the before and after values for that field.

Filters

Filter

Description

Group  Filter to view edits only for invoices belonging to a specific location group. Defaults to All. 
Location  Filter to view edits only for invoices belonging to one or more specific locations. Defaults to All. 
Invoice Date  Filter by the date on the invoice itself. Defaults to the last 7 days. Use the dropdown to select a preset range or a custom range. 


You can also use the search bar to quickly locate a specific invoice number, user, or field.

Report Columns

Field

Description

Invoice Number

The invoice number as it appears in Ottimate.

Invoice Date

The date on the invoice.

Location

The location the invoice belongs to.

Invoice Amount

The total amount on the invoice.

Invoice Edited By

The name of the user who made the edit.

Invoice Edited Date

The date and time the edit was made.

Invoice Link

A direct link that opens the invoice in Ottimate.

Change Type

The category of change made (Added or Changed).

Change Field

The specific field on the invoice that was edited (for example, Vendor, Amount, Invoice Date, edits recorded in invoice edit history).

Added Value

The value added to the field when the change type is Added. Blank for Updated and Removed changes.

From Value

The previous value of the field before the edit.

To Value

The new value of the field after the edit.


Note: Each row in the report represents a single field-level change, so a single invoice edit that modifies multiple fields will appear as multiple rows — one per field.
