Bulk Actions in Item Validation

Accept, reject, or remove catalog mappings for multiple invoice items at once.

Overview

When reviewing invoices in Item Validation, you can now take action on multiple items at the same time. Instead of accepting or rejecting catalog mapping suggestions one by one, bulk actions let you select any number of items and apply Accept, Reject, or Remove in a single click.


This is especially useful on invoices with a lot of line items, where going row-by-row slows down your review workflow.


What You Can Do

There are three bulk actions available:


  • Bulk Accept — Confirms suggested catalog matches on selected items.

  • Bulk Reject — Dismisses suggested catalog matches on selected items.

  • Bulk Remove — Clears applied catalog mappings from accepted or auto-matched items.


How to Use Bulk Actions

Selecting Items

  1. Open an invoice in the Item Validation workflow.

  2. Check the box on the left side of each item row you want to include. You can select as many items as needed.

  3. To select everything at once, use the Select All checkbox at the top of the list. This selects every item on the invoice, with no pagination limit.


Applying a Bulk Action

  1. Once you've selected one or more items, the bulk action toolbar will appear.

  2. Click Accept, Reject, or Remove depending on what you need.

  3. The UI updates immediately — no need to refresh the page.


Behavior by Item State

Each bulk action only works on items that are in the right state. Items that aren't eligible for a given action are silently skipped — you won't see an error, and the action will still apply to any eligible items in your selection.

⚠️  Note: Reject and Remove are not the same thing. Reject dismisses a suggestion before it's been applied. Remove clears a mapping that's already been accepted or auto-matched. They apply to completely different item states and cannot be swapped.


When Buttons Are Disabled

Bulk action buttons are automatically disabled if none of your selected items are eligible for that action.


For example: if you select items that are all already Accepted, the Accept button will be grayed out — because there's nothing for it to do. The Reject button will also be disabled since those items aren't suggestions. Only Remove will be available.


This prevents accidental no-op actions and gives you a quick signal about what's actually actionable in your current selection.


Working with Mixed Selections

You don't have to worry about selecting a perfect set of items. When you run a bulk action on a mixed selection:


  • Eligible items are acted on.

  • Ineligible items are silently skipped.

  • No error message or confirmation dialog appears — the UI simply updates to reflect what changed.


This makes it easy to use Select All and then act on everything in one shot, without having to manually filter down to a clean set first.


Frequently Asked Questions

Can I undo a bulk action?

Bulk actions are not reversible through the UI at this time. If you accidentally reject or remove mappings, you'll need to re-apply them manually on a per-item basis.


Does Select All include items on other pages?

Yes — Select All covers every item on the invoice, regardless of pagination. There is no page-by-page limitation.


What happens if I select items with different statuses and click Accept?

Only items in the Suggested state will be accepted. All other items — already Accepted, Auto-matched, Rejected, or No match — will be silently skipped. The action completes successfully with no errors.


What's the difference between Reject and Remove?

Reject applies to items with Suggested mappings. It dismisses the suggestion without applying it. Remove applies to items that have already been Accepted or Auto-matched. It clears the active mapping from those items. You cannot use Reject to clear an applied mapping, and you cannot use Remove on a suggestion.


Will I see a progress indicator while bulk actions run?

The UI updates immediately after you trigger a bulk action. For large selections, you may see the statuses refresh in sequence as results come in.
